South Gloucestershire Food Festival: Event Security and Medical Support

Airsec event safety personnel managing entry and crowd movement at the South Gloucestershire Food Festival

The South Gloucestershire Food Festival at Bristol and Bath Science Park brought together food traders, live entertainment, family activities and a busy public audience. To help the event run safely and comfortably, Airsec Group provided a combined operation covering event security, stewarding, crowd management and event medical provision.

The work also extended to the ABBA and Elvis tribute night held at the same location on the evening before the festival. Although the two events had different atmospheres and operating requirements, both needed a visible, approachable and well-coordinated safety team.

For the organisers, the objective was clear: provide effective protection and medical readiness while allowing visitors to enjoy the food, music and entertainment without unnecessary disruption.

Safety starts before the gates open…

Successful event security begins with preparation.

Before guests arrive, organisers and security providers need to understand how people will enter, where queues may form, how visitors will move around the site and what may happen if an incident occurs. At an outdoor festival, this includes considering food stalls, entertainment areas, bars, seating, walkways, vehicle routes, temporary structures and emergency access points.

Airsec worked alongside the organisers to support a practical event plan covering:

  • Entry and access management
  • Crowd and queue control
  • Stewarding across public areas
  • Monitoring of pedestrian routes
  • Protection of restricted and operational spaces
  • Welfare support and incident response
  • First-aid and medical readiness
  • Radio communication and escalation procedures
  • Emergency access and safe movement around the site
  • End-of-event dispersal

This joined-up approach meant that security, stewards, medical personnel and event management could work from the same operational plan.

Keep people moving safely

Crowd flow is one of the most important parts of outdoor event management.

When visitors arrive at the same time, queues can quickly develop around entrances, ticket points, search areas and popular attractions. Inside the festival, congestion may build near busy food traders, seating areas, bars, toilets or entertainment spaces.

Airsec’s event safety personnel helped guide visitors through the site, maintain clear routes and identify areas where people began to gather. Barriers were used to help organise entry lanes and create defined pedestrian routes, while team members remained visible throughout the festival environment.

Good crowd management is not about making people feel restricted. It is about making the site easier to navigate and ensuring that visitors can move comfortably between different areas.

Our teams were there to provide directions, answer questions, support the organisers and respond promptly if a route became congested or a visitor required assistance.

Professional entry management creates reassurance

The first interaction a visitor has with an event can shape their entire experience.

Entry teams need to be organised, welcoming and confident. They may be responsible for checking tickets or access permissions, directing guests, managing queues, supporting searches and identifying concerns before people enter the main event area.

At the South Gloucestershire Food Festival, Airsec personnel helped manage entry points and supported the smooth arrival of visitors. Their high-visibility event safety clothing made them easy to locate, while their approachable manner helped maintain a positive atmosphere.

This is where professional security differs from a purely technical solution. CCTV can record activity, but it cannot welcome a visitor, explain where to go, recognise when someone is becoming distressed or intervene immediately in a congested area.

For busy public events, visible manned guarding and stewarding provide a direct, human response. Our teams could observe developing situations, communicate with colleagues and take proportionate action in real time.

Medical support that is ready when needed

Event medical provision is a central part of a responsible safety plan.

Food festivals and live entertainment events bring together people of different ages and needs. Visitors may become unwell, sustain a minor injury, feel overwhelmed by a busy environment or require support for a welfare concern. Alcohol, warm weather, uneven ground and long periods of activity can also affect how people feel during an event.

Airsec provided medical and first-aid support as part of the wider event operation. This meant that trained personnel were available to assess concerns, provide appropriate initial assistance and escalate matters where necessary.

Medical readiness included:

  • A clear process for reporting concerns
  • Communication between security and medical personnel
  • First-aid response for illness or injury
  • Welfare support for vulnerable visitors
  • Assistance with locating people who needed help
  • Maintaining access for emergency responders
  • Recording and communicating incidents appropriately
  • Liaising with event organisers throughout the day

The presence of medical support also gave reassurance to the event team. Rather than relying on emergency services as the only response, the organisers had trained personnel available on site and a clear route for managing incidents as they arose.

Supporting the ABBA and Elvis tribute night

The evening before the food festival, Airsec also provided security and medical cover for an ABBA and Elvis tribute night at Bristol and Bath Science Park.

An evening tribute event presents a different operating environment. Visitors may arrive in a shorter window, spend longer near the performance area and enjoy the event in a more concentrated crowd. Lighting conditions change, entertainment continues into the evening and alcohol may be available.

The Airsec operation supported:

  • Entry and access control
  • Queue management
  • Monitoring of the audience area
  • Protection of stage and operational spaces
  • Crowd observation during performances
  • Welfare support
  • Medical readiness
  • Incident communication
  • Safe movement and departure

Our personnel remained visible without taking attention away from the entertainment. The aim was to provide a calm and professional presence so that guests could enjoy the tribute performances with confidence.

One coordinated team, one clear objective

Combining security, stewarding and medical provision helps organisers avoid gaps between different suppliers.

When each team understands its responsibilities and communicates effectively, concerns can be identified earlier and passed to the right person quickly. A steward may notice a visitor who appears unwell. A security officer may protect access while medical personnel provide assistance. An event manager may need an immediate update about a developing issue.

This coordination is particularly important at outdoor events, where public areas can be spread across a large site and conditions may change throughout the day.

Airsec’s approach focused on:

  • Clear briefings before deployment
  • Defined roles and responsibilities
  • Radio communication between teams
  • Visible supervision
  • Regular awareness of crowd conditions
  • Direct communication with organisers
  • Proportionate and welfare-first intervention

The result is a more complete event safety solution. Security is not treated as a separate function operating in the background. It forms part of the visitor experience and works alongside medical, production, venue and event-management teams.

A friendly presence makes a difference

Professional event security should be reassuring, not intimidating.

Visitors may need directions, assistance finding a family member, support after feeling unwell or help understanding an event rule. They should be able to approach a member of the team without hesitation.

Airsec’s welfare-first approach places customer care alongside operational competence. Our personnel were there to monitor the site, manage access and respond to incidents, but also to be friendly, helpful and approachable.

That balance is especially important at food festivals and community-focused events. The security team represents the event organisers throughout the visitor journey. Their communication, appearance and conduct all contribute to the reputation of the event.
